Methods to save emails locally from outlook
SOLUTION 1 SAVING EMAILS TO PST
Outlook automatically creates a Personal Storage Table or PST file for the entire mailbox. Users can choose selective folder
items to move to a new PST file saved with a .pst extension.
· Open Outlook app.
· Then, go to File Open & Export.
· Now, this will open the Import and Export Wizard.
· From this, select Import / Export option to a File.
· Next, select ‘Export to a file file’ and choose Outlook Data File from next window to transfer mailbox content on to a .pst file
· Also, make sure to check the box next to Include Subfolders.
· Select the destination location within the local hard drive or N drive on the next page by clicking on Browse.
· Finally, click Finish to start the export process.
Note: This method allows us to save the emails and the attachments for that emails.
SOLUTION 2 Convert Office 365 Emails into .MSG Format
Using this method will let users save Outlook 365 emails to hard drive in .MSG format that can be open later in Outlook app.
In this method, each email will get saved in a separate .MSG file. This method is usually applied to a small number of emails
· Start Office 365 mailbox and open the chosen email for preview.
· Now, click on File Save as and a box will appear.
· Select your destination hard drive location in that box. At the same time, add a name for the file and select .MSG as the
Save as Type.
· Click Save to finish the saving process. Repeat for all other emails.
Note: This method allows us to save the emails and the attachments for that emails.
SOLUTION 3 Convert Office 365 Emails into HTML Format
Using this method will let users save Outlook 365 emails to hard drive in HTML format that can be read from a web browser.
In this method, each email will get saved in a separate HTML file. This method is usually applied to a small number of emails.
· Follow all steps from Solution 2 but for Save as Type, please choose HTML option.
Note: This method doesn doesn’t save you the attachments for that emails.
